Job Title:     Project Coordinator & Assistant

Responsible to: Projects Managers
Location:   Abu Dhabi, United Arab Emirates
Hours of Work:8am - 5pm daily, Sunday to Thursday. More or less may be needed as per the requirement of the job or project. Occasional international travel may be expected.

Main Duties & Key Task

As a junior project coordinator and confirmed project coordinator, then after, your role will be vital in ensuring projects run on schedule and are executed with the highest standards of professionalism and quality. The role will be evolve and offer responsibility and scope for development and promotion; it includes:

Project Management

  1. Produce, update and maintain project plans with the project manager
  2. Keep track of the project as per the project plan, ensuring key tasks are on course to be completed on time and to raise a flag where task deadlines are not being met or are being delayed
  3. Produce professional and regular reports to the project manager and/or project director as and when required
  4. Coordinate project related meetings, including agenda formation, minutes taking and distribution and following up recommendations
  5. Liaise and follow up with external suppliers, contractors and stakeholders
  6. Identifying and pursuing opportunities that may be suitable for the project and/or future projects
  7. Maintain project learning logs with the assistance of the project manager
  8. Set up/maintain systems to record project costs

Project Administration

  1. Respond to phone and email enquiries and resolving and/or referring a range of administrative problems and enquiries
  2. Maintain a cohesive project filing system
  3. Coordinate visits of stakeholders when required

Miscellaneous Tasks

  1. Lead and train other staff and/or student employees, as required
  2. Perform other job related duties as assigned and when required

A good graduate qualification or equivalent in Business/Management or similar field
MPM Certificate

3-5 years good experience in a supporting role
Experience of planning & coordinating activities, events and project tasks

Experience of communicating with all levels of management , and internal and external stakeholders and suppliers

Abilities
Skills & Knowledge

E

Excellent command of Arabic & English

E

Excellent written and oral communication skills

E

Excellent command of MS office applications and ability to use MS Projects

E

Self starter

E

Ability to work with limited supervision

E

Ability to multi task in stressful environments

E

Proven ability to work to strict deadlines

E

Ability to work individually and collaboratively as part of a team

E

Ability to take the initiative in the absence of the project manager

E

Excellent time and self time management skill

E

Good working knowledge of MS Office
